ADMINISTRATIVE OFFICER

A. JOB SUMMARY: an Administrative Officer will support the daily office procedures and ensure administrative activities run smoothly on a daily and long-term basis. The duties will include office stock management٫ reporting on expenses and office budgets٫ organizing company records and providing administrative support to employees etc.

B. ADMINISTRATIVE OFFICER JOB DESCRIPTION

· Good organization, time management and scheduling skills

· Basic book keeping experience, especially in accounts payable/receivables

· Experiencing using office management software, including word processing software and spread sheet

· Typing speed of at least 60 words per minute with few errors

· Strong communication skills

· Ability to multi task

· Prepare regular reports on expenses and office budget

· Maintain and update company data base

· Organize a filling system for important and confidential company documents

· Answer queries by employees and client

· Maintain a company calendar and schedule appointments

· Distribute and store correspondence (e.g.) letters emails and packages

· Update office policies as needed

C. ADMINISTRATIVE OFFICER JOB REQUIREMENT

· Strong organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.

· Excellent written and verbal communication skills, including proficient editing and proofreading abilities.

· Proficiency in office productivity software, including word processing, spreadsheets, and presentation tools (Microsoft 365).

· Attention to detail and accuracy in data entry and record keeping.

· Ability to maintain confidentiality and handle sensitive information with discretion.

· Strong problem-solving skills and ability to work independently or as part of a team.

· Flexibility and adaptability to handle changing priorities and tasks.

· Exceptional interpersonal skills for building relationships with colleagues and external contacts.

D. ACADEMIC QUALIFICATION

· A bachelor's degree in business administration, management, or a related field is preferred but not mandatory.

· Equivalent work experience will also be considered.

· Additional certifications or training in office administration or related areas will be an advantage.
